Communication Tips For Success

In any industry, effective communication is essential. This is no different in the wedding and event industry. Whether you’re a DJ, a photo booth company, photographer, catering company or whatever business, effective communication is the key to success! Not just communication within your team, but also with your new and existing clients. Here are some great tips, to step up your game and get you booked!

  • Be Personal – If you used a “canned response” don’t forget to add personal details in your replies. Nobody likes canned responses, and your clients are NOT the exception. Address them by their name(s), add their event date, mention their venue details (if you’ve been there).
  • Be Fast – The faster your response time, the more likely you are to get booked! According to a Wedding Wire research survey, couples are 100 TIMES more likely to book the vendor that responds within the first 5 minutes! I’ll be honest, we can’t always reply within 5 minutes, but we try to reply as soon as possible. Definitely reply within 24 hours, as most couples expect a reply within 24 hours. The way I see it, someone is offering to hand you money when you get an email. Why wait up to 24 hours to claim that money? Go get it!
  • Keep it Simple – When you reply to an email, it’s not the time to show off your writing skills and write them an essay. Remember, most of your emails and communication will be done through mobile phones. We get about 80% of our traffic from mobile phones – I check this weekly. This  is about average, so keep this in mind. If you open up an email that is 5 paragraphs long, will you read the entire email? Maybe, maybe not. So be concise and only ask 1-2 questions at a time. We keep it simple by requiring essential info on our contact form. This way, most of the questions are already answered before we even reply!
  • Answer All Questions – This is very important! Always answer your client’s questions. This means they’re INTERESTED in booking with you! Don’t email them a sales pitch and not even address their questions. If you need more info, say that. Say, “in order to give you an exact quote, I need a few more details.” Then, ask your questions, but no more than 1-2 questions at a time. Why? Keep the communication going and develop a rapport with your clients.
  • Use Their Method of Communication – It’s simple. Use the method they used to communicate with you. Don’t force a phone call. I know you may be used to it and the old way of doing things was to get them on the phone. Not anymore. Whether they email, text, Facebook message, chat, or whatever, use that same method to book them! We book 90% of our events WITHOUT a phone call!

These are just a few great tips to keep in mind. I know for a fact that the Rent My Wedding staff take effective communication very seriously! Each time we communicate, I receive a response very quickly! If you’re in a time crunch and need to rent something ASAP, give them a call! Communication is essential in every business. Top 25 Wedding Reception Songs

There are many great DJ song lists out there. Simply doing a Google search will yield millions of results! So how do you narrow it down? The answer isn’t too simply, but here’s my best advice. Every DJ has his/her own preferred “go-to” songs, and the top songs that are played may also vary by region. Our company, Austin’s Best DJs, is based out of Austin, Texas, and we provide DJs and photo booths for about 250 events per year. Around 80% of our events are weddings. We tend to play many of the same songs at many of the weddings we do. We don’t play them because we’re too lazy to make a new playlist; we play them because they work! A hit is a hit and people want to hear and dance to songs they know and love. Your job, as a DJ, is to ensure that your clients and their guests have a great time! We know there are literally millions of songs out there and there may be some great songs that we left out, but these are the well know songs that we frequently play at weddings. That being said, here is our list of the top 25 upbeat, fun songs that get people dancing!

Overall, these songs are great; however, you should always discuss your song list with your couple, to see what their preferences are, first. If they prefer different genres or aren’t too picky, the above songs are great go-to songs to build your playlist around. Again, there are hundreds more that we play, but these are the most played songs in our library, for weddings. The above songs usually pack the dance floor at weddings here in the Austin and central Texas area; however, these songs are great hits and should pack dance floors all over the country!

Planning Your Uplighting Placement

If you’re having a wedding, party or event, and you want to change up the venue’s atmosphere, consider uplighting! Uplighting can really change an entire room’s atmosphere! If you have a theme or color for your event, think about adding the same colors, or colors that go well with your theme. Placing a few lights around the room can really do wonders for the look of your event! So just where should you place the lights? Let’s discuss the ideal placement and details!

Before placing your lighting in the room, remember to consider power outlets, if you’re using wired uplights. This is where wireless uplights really come in handy! You’re not restricted to a certain area and don’t have to mess with the hassle of extension cords! So if it’s in your budget, add wireless uplights! Now, let’s get to the placement.

First, consider the size of the room and where your guests will be seated, as well as where your head table will be and where the dance floor will be. Some venues have larger rooms with everything taking place in one area. Other venues have different rooms for dinner, cocktail hour, and the reception/dance. Regardless of the venue, uplighting is sure to add to the atmosphere. In my opinion, uplighting looks great anywhere, but it’s best in key areas and corners.

Always place even numbered lights on the wall you’re accenting. It looks better to have pairs of lights, rather than an odd number. The first place to accent is the head table area. Place at least two, but feel free to add as many as you’d like, near the head table. We recommend 2-4 lights in this area. This is the focal point of the room, so highlight this with lighting. Next, place lighting near other important areas, such as the cake table, dessert bar, sign-in table, etc. Once you’ve highlighted these areas, there should be much more color throughout the room! If you still wish to add color and lighting, feel free to now place them along each wall of the room, in even numbers. The lights also look great in corners, too! If you’re outdoors, try lighting the trees, too! It looks great at night!

This placement info is what we use for our events, all year long. Most brides and grooms ask us to decide where to place the lighting, but some have had their own ideas, as well. There’s no standard placement, so feel free to use this as a guide, and add or change what best fits your venue and event!

Create a New Package With Black Lighting!

In the DJ business, there are many lighting options to consider adding to your packages. There are numerous lights to consider, such as: dance floor lighting, disco balls, moving heads, uplighting, lasers, spot lights, monogram lighting, water and effect lighting, etc. I can go on and on with the numerous types of lighting that is available for DJs. Overall, how much lighting you offer is totally up to you, but having lighting for events is definitely a must! One type of lighting you may have not considered is black lighting. More and more, we’re seeing black light parties happening for bar and club events, college parties and other events. We’re also seeing a rise in popularity with black lighting and glow parties happening with school events, quinceaneras and sweet 15s/16s.

You can certainly add black lighting to your packages and create a new “black light party package.” Simply add neon balloons, glow sticks, necklaces, glasses or anything else that looks great with black lighting. Sure, most weddings will not want to add black lighting, but many of the quinceaneras and teen events absolutely love the idea! We recently added this to our quince/sweet packages and it’s been a huge hit! Teens love the club-like atmosphere and it’s different from all the other events they’ve attended! This is a great way to set yourself apart from your competition!

Now, you may be asking, how many lights do I need, or how much is it going to cost me? The number of lights depends on how large the venue is. For smaller venues, we use about 4 lights. Simply add more lights around the room for larger venues. The lights come in different sizes and the prices can vary, depending on the length of the bulbs and the maker, of course. You can certainly rent some black lights from Rent My Wedding and simply build in your costs into your package price. They’ll ship the lights to you, free, and provide free return shipping, too! As a professional in the wedding and event services business, you can see trends as they happen each year, with weddings, quinceañeras, or other events. About three years ago, we noticed that people started adding photo booths to their weddings and events. Three years ago, it was just starting in our area (Austin and central Texas), and we’d see a photo booth at about 1 out of every 10 weddings or so. Save Cash, Rent a Gobo!

If you’re a DJ, or even an event lighting company, then chances are, you’ve been asked by your clients about a monogram light, or “gobo light” as some of us call it. These lights are a great addition to any package. They can be used for just about any event, but we’ve mainly seen them used for weddings, quinceaneras, sweet 15s and 16s, and company parties. Adding a monogram light is the perfect way to give your clients that personal touch!

Today’s couples are all about doing things that are unique. When you add a monogram light, it allows your couple to add their names or initials, as well as the date, which makes it more personal for them. If you’re providing it for a quinceanera, sweet 15 or 16, or birthday party, the guest of honor can have his/her initials or name, and the date, created, just the way they want it, which gives that personal touch. This allows your client(s) to have their input on how their personal monogram will look. Giving your clients the ability to have input on every aspect of their event is the best way to ensure that they’ll be happy with your services! Now, the technical details. Yes, the gobo projectors are expensive, and making custom gobos from steel or glass are also expensive, and adding color to their monogram, is more expensive! Steel gobos cost about $55. Glass gobos are about $90, and multicolor gobos can be $300 and up! The projector prices vary, depending on the brightness of the light, or wattage, as well as the “throw” distance, or how far away it will project the image, clearly. The good news is, there are some cheaper alternatives!

First, you can always rent a gobo projector, from a local DJ/equipment rental company, or you can even rent them from Rent My Wedding, as well. Up-selling With Uplighting

One thing that can really take a wedding to the next level is uplighting. Our friends at Austin’s Best DJs have some great tips on how DJs can use uplighting to earn extra profits. Read on to learn more!

In the DJ business, DJs and DJ companies should always strive to find new ways to increase sales and profits. There are a number of ways to increase sales, such as having packages, offering optional upgrades, adding extra time for your clients, and many other ways. One of the easiest ways to up-sell and increase your profits is to add uplighting to your packages or options.

Uplighting looks great and is easy to set up, too. A room’s atmosphere can be completely changed by simply adding great uplighting. For weddings and Quinceaneras, allow your couples to choose which color(s) they want. They’ll most likely want a color that matches their theme. For other events, you can inform your clients of which colors will look the best. Most clients choose one color, but we’ve had other clients choose two or three different colors to match their theme. You definitely want to have a few great examples to show your clients, while offering the uplighting. As they say, “a picture is worth a thousand words,” so be sure to have several pictures on your website, social media, or at least in your phone, so they can see exactly how great their event will look! Everyone wants to “wow” their guests, and this is another easy way to do it!

There are a variety of uplights that you can purchase, from different companies. You also have the option to buy wired or wireless uplights. If you want to minimize setup time, use the LED uplights that do not need a DMX controller to change the colors. Many uplights will not hold the particular color you set, if the DMX controller is unplugged, so it’s best to get the uplights that do not need to be plugged into a DMX controller. To further minimize set-up time, use wireless uplights, so you avoid having to find enough power outlets, bringing multiple extension cords, DMX cables, etc. Wireless uplights are great and are a huge time-saver!
If you can’t decide on which lights to purchase, or you’re not quite ready to take the plunge and buy eight or more uplights, there is a solution! You can always simply rent uplights! Theme Backdrops with Gobo Lighting

Gobo lighting is a staple for any wedding, whether to put a couple’s names in lights, or to project a pattern on the dance floor. But for a new twist, try experimenting with themes and patterns! We recently had a couple request props to create a backdrop with the Eiffel Tower and city skyline. We figured, why not just do it with lighting? Here’s a sneak peak:

To create this look, we used 3 gobo lighting projectors. There is one projector with the moon, one with the Eiffel Tower, and 2 with the city skyline. The night sky effect was created using 2 starry night projectors by Blisslights.

By using the 5 separate gobo projectors, we created a super large backdrop that covered a wall about 40 feet long by 20 feet tall. If you have a client on a budget, you could create a smaller version of the skyline and put the entire design on 1 gobo projector.

DJ TIP:  HOW TO EARN PROFITS ON LIGHTING SERVICES
